KOOL KIDS CLUB PARENT INFORMATION PACK
Welcome to Kool Kids Club where we aim to provide play activities which children can choose themselves, and time and space where they can make, and be with friends out of school.
Kool Kids Club during term time is made up from children attending Clifton with Rawcliffe and our Club is held at the Junior Site. Holiday Club has children from the catchment area of Canon Lee and children whose out of school care does not cover school holidays.
This pack of information is about ensuring your piece of mind, knowing that your child/children are safe and enjoying themselves.
It is essential that you work through the statements and policies it contains. At the back of the pack is a registration form and if you are happy with all the policies and statements please fill the form in and sign the agreement section prior to you child/children starting at the club.

Admissions and Fees
Our Club is committed to providing a fair and open admission system that offers a low cost and good value service. As a provider of registered childcare, we both encourage and actively support eligible parents/carers claiming and taking up the childcare element of the Working Tax Credit.
Admissions
When a parent/carer contacts the Club enquiring about a place for their child, they will be given a parent information pack which contains all the all the relevant information they require including details of the Admissions and Fees policy, and will be informed of whether there is currently a suitable place available for their child.
If a suitable place is available the parent/carer and, where possible, the child will be invited to visit the Club and speak to members of staff. If the parent/carer agrees to abide by all the terms and conditions of admission, including the level of fees and arrangements for payment, they will be asked to complete and sign the Child Registration Form to confirm their child’s place.
Once the Child’s Registration Form has been handed to a member of staff, their child/children can come to the Out of School Club when they wish but they must be booked in advance by contacting the Club on 07503020035.
With regards to holidays, everyone who has used the scheme in the last year will automatically be sent a booking form, 4-6 weeks before the holidays. For new inquires the Parent/ Carer will be sent a parent pack, a child registration form and a booking form.
Allocation of Places
The club is open to all children; aged 4 to 11 years from Clifton with Rawcliffe Schools during school term time and all schools in Canon Lee catchment area and any primary school child whose parent requires a place during school holidays. There is a maximum of 30 places under 8’s places available per session. If the days you require are full your child’s name will be placed on a waiting list and you will be contacted as soon as a place becomes available.
Cancellations
The club recognises that on occasions a pre-booked place will need to be cancelled due to unforeseen circumstances, such as sickness. You will not be charged for sessions cancelled if the required notice period is given.Two working days notice in writing is required for all other cancellations. See Cancellation of place and period of notice required.
Emergency Bookings
Emergency bookings will be accepted provided the club can fulfil its obligations to Ofsted with regards to staffing ratios. Please note that if a message is left on the answer machine confirmation from the Manager is still needed.
Escort Policy
Our Club is committed to taking positive and proactive steps to ensure that we provide a safe walking system for all children when escorting them to and from either school and also on trips out during the Holiday Club or After School Club. Parents must give permission for trips on the children’s registration form and specifically for travelling on public or privately hired transport on each occasion.
A ratio of 1 adult to 5 children for children under the age of 8 and a ratio of 1 adult to 8 children for children over the age of 8’s is adhered to at all times for all trips and on the daily walking bus. There is a set of walking rules for Children and Staff which must be followed by both groups.
From September 5th 2011 the juniors will be walking from the new school on Eastholme Drive to the Junior School on Rawcliffe Drive until the junior children have made the transition to the new school for Breakfast Club and for After School Club, the juniors will walk from the Rawcliffe Drive Site to the Eastholme Drive Site.
Trips at Holiday Club or After School Club.
Reflective jackets are worn every time the children leave the setting for a trip whether walking to the local park, using public transport or by coach. A register of the children going on the trip is kept with a member of staff at all times along with the relevant children’s’ registration documentation. A first aid kit is also brought at all times when away from the setting. On long trips or trips in the easter and summer holidays bottles of water, a small snack, suntan cream and suntan application sheet are carried in a back pack. No child can go on a trip without wearing appropriate clothing and footwear and carrying their lunch and spare clothing in a back pack.
According to the Highway code:* groups of children or people walking should have an adult with a reflective jacket at the front and the back of the line at all times especially when there is no pavement or from twilight*.
Walking bus from juniors to the new school and vice versa.
Reflective jackets are put on while waiting in the junior school hall and book bags are made secure. Any absences or changes to the walking list register are done before leaving the junior school. Any unknown absences from the walking list are checked with the school office staff and the child’s teacher. The parents are given a copy of the walking bus rules in the parent pack and asked to explain them to their child/children before the child signs them and returns them to the club. Staff should switch on the emergency /walking bus phone before setting off for the juniors so that messages can be relayed and contact is maintained during this time with the manager or staff at the junior site.
All staff and children should follow the walking rules (as set out below).
Walking Rules
- Stay on the pavement, away from the road.
- Stay in line.
- Be kind and polite to fellow walkers, not pulling, pushing or kicking.
- Walk sensibly with your partner .
- Listen to the adult walkers.
- Walk carefully on wet, slippery or icy ground.
When crossing the road you must
- Stop.
- Look both ways.
- Listen.
- Wait for the adult walkers to tell you when it is safe to cross.
- Cross sensibly and quickly, but do not run.
- Hold hands when crossing the road if instructed by the adult walkers.

Any non compliance to these rules by the children when out has consquences for every one. A record of any event or incident where these rules are not adhered to is made. The child/children will be given time out once back at the setting and the member of staff involved will discuss their behaviour and help them to understand the seriousness of road safety.
The parents of all children will be informed. If the walking rules are not followed for a second time a discussion will be held with the parents about the child’s place at the club and a period of exclusion may follow.
Waiting List
To ensure that admissions to the Club are offered on a fair and transparent basis, the following procedure will apply to the management of waiting lists:
• If, on making an enquiry about a place for their child, a parent/carer is informed that there is not currently a suitable place available, the Club’s waiting list procedure will be explained and then activated on the parent/carer’s behalf.
• The waiting list will be kept and used on a ‘first come first served’ basis. The Club will advise the parent/carer of how long they are likely to have to wait before a suitable place becomes available. This information will only be an estimate and will not constitute a binding guarantee from the Club.
• When a vacancy at the Club becomes available, the Manager will contact the parent/carer in advance preferably and explain that there is now a place for your child/ children to attend.
• If that parent/carer still wishes to take up the place for their child, they will be asked to complete the booking form for the day there child is booked in.
• If the parent/carer concerned no longer wishes to take up a place, the parent/carer of the next suitable child on the list will be contacted.
Cancellation of place and notice period required
•If a parents /carers no longer require places for their child/children, the Manager must be informed in writing, a month before they wish to terminate their place.
•Parents/Carers must inform the Manager of any changes they wish to make to their weekly bookings a month in advance.
• At the end of summer term all parents/carers of Yr.6 children with siblings must inform the Manager if they will require a place for the younger sibling.
•Parents/Carers must inform the Manager as soon as they know they no longer need a place so that the parents/carers of children on the waiting list can be give sufficient notice to their existing care providers.
•Fees will be chargeable for all sessions not cancelled in the required time period.
Fees
The Club understands that the cost of registered childcare may seem expensive to a parent/carer. However, providing a high quality, safe and stimulating service for children is not cheap and to ensure the continued high standards and sustainability of the Club, it must ask that parents/carers respect its policy in respect of fees.
• The level of fees will be set by the voluntary committee and reviewed annually in the light of the Club’s financial position, its future strategic plans and any other broader economic or social considerations deemed relevant
• Payment of fees can be made daily, weekly or monthly. The manager will find out how often parents are planning to pay their fees and explain that weekly payments are preferred. Payment of fees may be made by standing order. Please inform the Manager that you would like to make payments in this manner and she will provide the relevant details.
•We accept all childcare vouchers, parents/carers should speak to the Manager for assistance in setting up the scheme that is available to them.
• If the fees are not paid on time, the Club will notify the parent/carer in writing and request payment at the earliest possible opportunity.
• The Management Board has the right to issue a formal warning to the parent/carer and inform them that continued late payment will result in their child’s place at the Club being forfeited.
• If fees are paid persistently late or not at all with no explanation, the Club will be forced to terminate that child’s place. Under exceptional circumstances, the Management board, with permission from the management committee, may agree to allow the child to continue attending the Club for the remainder of that week.
• Parents/carers are encouraged to speak to a member of staff or the Manager if they have any query about the fees policy, or if, for any reason, they are likely to have difficulty in making a payment on time or giving the required period of notice. Parents/carers are strongly advised to arrange a meeting at the earliest possible opportunity, to avoid jeopardising their child’s place at the Club.
Behaviour Management
Our Club recognizes the importance of positive and effective Behaviour management strategies in promoting children’s welfare, learning and enjoyment.
The adults and children of Kool Kids Club will treat every individual with equal respect.
Kool Kids Club aims to create a happy and relaxed atmosphere in which all children and young people attending the club can play, enjoy the activities on offer and express themselves without fear of intimidation, harassment, physical or verbal abuse.
The club is a play facility where children are allowed to be messy and boisterous as long as they are not putting themselves or anyone else in danger or discomfort.
We strive to promote positive behaviour that encourages respect for each individual, cooperation with each other and opportunities for play and adventure within a safe and caring environment.
Behaviour management in the club will be structured around the following principles:
- Staff and children will work together to establish a clear set of ground rules, overseeing all behaviour within the club.
- The clubs ground rules will apply equally to all staff and all children
- Positive behaviour will be reinforced with praise and encouragement. The club will use a behaviour chart which the children can put points on next to their name, only when a member of staff praises their good behaviour. This gives the child good behaviour achievements
- Negative behaviour will be challenged in a calm but assertive manner.
- The children will be given the opportunity to discuss the reasons for their negative behaviour with a member of staff. This gives the children chance to reflect on their actions and take ownership.
- Children who display disruptive or unacceptable behaviour will be asked to sit on time out. This method helps defuse the situation and gives children and staff a chance to calm down. The children will be given the opportunity to discuss their behaviour.
- When dealing with negative behaviour, staff will always communicate in a very clear calm and positive manner. Staff will avoid shouting as much as possible.
- Staff will facilitate regular discussions with the children so they have the chance to discuss any behavioural issues.
- Activities will be varied, well planned and structured so that children are not easily bored or distracted.
Dealing with negative behaviour:
- Children will be give the choice to improve their behaviour, they will be asked to do this a maximum of 3 times
- Children who do not do this will be asked to sit on time out for 5 minutes. The member of staff who asked them to sit on the time out will then discuss their behaviour with them.
- If the child refuses to sit on time out they will be given an incident report form and their behaviour will be discussed with parents.
- If the child continues to disrupt they will be given an incident report form for each occasion they display negative behaviour.
- If a child receives 3 incident report forms in a term, they will be excluded from the club. (Refer to exclusions policy) the behaviour policy and exclusions policy can be found on the Notice board.
We have a home school agreement which we would like you to read and sign. This shows we are working in partnerships with parents/ carers / children and staff. If you would like a copy for home please let us know.
BEHAVIOUR POLICY FOR CHILDREN AND STAFF IN THEIR CARE OF CHILDREN
AIMS:Kool Kids Club aims to ensure that all children in its care are encouraged individually to reach their full potential. To achieve this all members of staff encourage children to show respect, understanding, sensitivity and tolerance towards each other and to work with parents to achieve the above aims. The staff will also
- Reward children with praise, stickers and occasional treats
- Make positive statements about the children's behaviour e.g. "you are walking
nicely"
- Give encouragement using phrases such as "please remember to walk" as opposed
to "don't run", or "let's talk" instead of "don't shout"
Kool Kids Club Staff will not
- use any form of physical or emotional punishmenthumiliate children
- shout at the children
Kool Kids Club has an appointed member of staff with responsibility for ensuring that a fair and consistent approach to behavioural issues is maintained. How do staff deal with unacceptable behaviour and bullying in the setting?
- The staff member who is present intervenes immediately.
- S/he talks to both children on their level to resolve the situation.
- If the children are hurt or distressed they are separated and comforted with support from other members of staff.
- Staff listen to each child's problem then remind them that we are all friends in Kool Kids Club and that it is unkind to behave in such a manner.
- Staff encourage the children to say sorry or give a hug.
- Staff will then keep a close eye on the children.
- Staff will ensure they praise the children when they see them playing nicely.
- If difficulties persist the children are redirected to play separately and/or with something else
How are incidents recorded? All incidents are reported to the Manager. Incidents of unacceptable behaviour will be recorded in the Incident Book. Parents/ carers are informed of the incident and asked to countersign the Incident Book.
How are parents/ carers informed and consulted?
- Parents/ carers are informed of any incidents, which may have occurred involving their child when the child is collected. Including those of the child’s behaviour which do not follow the Home Club Agreement.
- The member of staff who dealt with the incident explains the incident in full detail. If that member of staff has gone home, the senior member of staff on duty will be given the details to inform the parents/carers. This should not be done in front of the child.
- If the incident is serious the parents/carers will be contacted by telephone by the Manager. After reviewing the incident, and if the other children in the care of the club are at risk of harm, parents/carers are invited in to a meeting with the Manager to support the child.
- If the unacceptable behaviour continues after several meetings, with permission from parents/carers, relevant outside agencies will be involved at appropriate times.
- Appropriate support for the child will be discussed, planned and reviewed. Kool Kids Club reserves the right to exclude children who continually challenge the staff by behaving in an unacceptable manner, or if they pose a threat to the safety of others if the unacceptable behaviour continues.
STAFF CONDUCTKool Kids Club is committed as a staff team to care for one another and to work together to provide a caring, safe and secure environment for each individual. Kool Kids Club expects its' employees to maintain a professional approach at all times. Staff will show respect, understanding, sensitivity and tolerance towards each other and towards other people and the children with whom they come into contact. The Disciplinary Procedure will be used if staff behave in an unacceptable manner. If staff feel they are being treated unfairly they are able to use the Grievance orBullying & Harassment Procedures as appropriate. GRIEVANCE PROCEDUREWe hope that it will not be necessary for you to use this procedure. However, if a parent or carer does have any concerns they should follow the steps listed below:
- If the problem is one which can be dealt with simply, the parent/carer should speak directly to a Staff member.
- If the problem needs to be dealt with at a more senior level, the parent/carer should speak to the Manager.
- If the concerns are with regard to the policies and procedures used by Kool Kids Club, the parent/carer should contact the Out Of Schools Clubs Manager of York Childcare Ltd.
Any concerns related to the safety of the children, which are not covered by the Kool Kids Club policies and procedures, should be addressed to the Out Of Schools Clubs Manager of York Childcare Ltd.
- If the grievance concerns the behaviour of the Manager, the concerns should be recorded in a letter, and addressed to the Out Of Schools Clubs Manager of York Childcare Ltd at the
Registered Office marked "Private and Confidential". The Out Of Schools Clubs Manager will
then contact the parent/carer.
- Should the parties concerned still feel that the grievance has not been dealt with adequately, they should write to the Chair of York Childcare Ltd at the Registered office, marking the letter "Private and Confidential"

Cancellations

Parents must inform the Manager before lunch time on the morning of their child’s illness to ensure no charges are incurred. Two working days notice in writing is required for all other cancellations.
Bookings: In an emergency
Emergency bookings will be accepted provided the club can fulfil its obligations to Ofsted with regards to staffing ratios. Please note that if a message is left on the answer machine confirmation from the co-ordinator is still needed.
Bookings: in addition
All additional bookings to your normal requirements must be made in writing on the casual/variable booking form found in the Parent Pack, on the school website or from Kool Kids Club at Breakfast or After School Club.

Breakfast Club £3.25
After School Club £8.00
Holiday Club £20.00 per full day, £10.00 per flexible 5 hour booking, £5.00 for 2 hour sessions.
Arrivals and Departures
Our Club will give a warm and friendly welcome to each child on arrival and ensure that they depart safely at the end of each session.
It is the responsibility of the Manager to ensure that an accurate record is kept of all children in the club, and that any arrival or departure to and from the premises is recorded in the register. The registers will be kept in an accessible location on the premises at all times locked out of sight when the club is not operating.
Records of daily registers should be kept by the Club for at least three years.
Arrivals
On arrival at After School Club, a member of staff will immediately record the child’s attendance in the daily register, including the time of registration; at Breakfast club and during Holiday Club this recording will be done by the person bringing the child.
Departures
If the child is to be collected by someone other than the parent/carer, this must be indicated to a member of staff and recorded at the start of the session.
The adult nominated to collect a child must be one of those named on the Admissions Form. Only adults – aged 16 years and over – and with suitable identification, will be authorised to collect children.
In cases where parents/carers want older siblings to collect their over eight year old children, this will be allowed, with a written consent form.
No adult other than those named on the Admissions Form will be allowed to leave the Club with a child. In the event that someone else should arrive without prior knowledge, the Club will telephone the parent/carer immediately.
If the parent/carer or alternative nominated adult is going to be late to collect their child, staff must be informed of this on arrival. If the designated adult is late in picking up their child without prior warning, the provisions of the Uncollected Children policy will be activated. Upon departure, parents and carers are reminded to sign their child / children out, filling in the time of departure.
Absences
If a child is going to be absent from a session, parents must indicate this to the Club in advance with 48 hours notice using a written cancellation form.
Or a full session will need to be paid for.
Regular absences from the Club could be an early sign and/or symptom that a child or family may be encountering some difficulties and might need support from the relevant statutory agencies. The Club and its staff will always try to discover the causes of prolonged and unexplained absences.
Bookings Procedure
It is the policy of the management Committee that the play provision offered should be available to any and every child from the community. Having this open access policy to the club will benefit individual families and the community in general. Parents must book and pay for a place in the club in advance. Children will not be allowed to attend if they are not booked in.
Holiday Club bookings
If there are insufficient numbers to run a holiday club we will sign post parents to other clubs in the York Childcare group; to the list of available childminders in the area and to Josephs Nursery’s Out of School Club. Parents will also be informed that if they wish to approach a member of Kool Kids’ staff to look after their child this should be organised on a personal basis. This service is not covered by any of Kool Kids Club policies or insurance.
Cancellations
If a place is booked but not needed, parents must inform the club manager and fill out a cancellations form giving 48 hours or two working days notice otherwise, the full session will need to be paid for. Registration Forms
Every child who attends the club must have a current, up to date registration form which has been completed and handed into the club. Every year a new registration is required to be completed.
Payment
Payment must be made in advance with the booking form on a weekly or monthly basis to the Manager. A receipt will be issued for all cash payments and for other payments on request. A session costs £6.75. There are no reductions for siblings.
Signing out
The child cannot be signed out by anyone not listed on the registration form and will not be allowed to go home with anyone else without prior notice from the parent.
Uncollected Children
Our Club has the highest regard for the safety of the children in our care – from the moment they arrive to the moment that they leave.
The insurance cover for Kool Kids Club operates up until the hour of 6.00pm each week day.
At 6.00pm when every sessions ends, the Club will ensure that all children are collected by a parent, carer or designated adult, in accordance with the Arrivals and Departures policy. If for some reason a child is not collected at 6.00pm, the following procedures will be activated.
• If a parent, carer or designated adult is late in collecting their child, the manager will be informed. For every 5 minutes late there is a £5 charge. This will be activated immediately at 6pm.
• The manager will call the parent, carer or designated adult, and use any other emergency contact details available in order to try to ascertain the cause for the delay, and how long it is likely to last. Messages will always be left on any answer phone requesting a prompt reply.
• While waiting to be collected, the child will be supervised by at least two members of staff who will offer them as much support and reassurance as is necessary.
• If, after repeated attempts, no contact is made with the parent, carer or designated adult, and a period of 30 minutes has elapsed, the manager will call the local social services department for advice.
• In the event of the social services being called and responsibility for the child being passed to a safeguarding agency, the manager will attempt to leave a further telephone message with the parent/carer or designated adults’ answer phone. The message will reassure them of their child’s safety and instruct them to contact the local social services department.
• Under no circumstances will a child be taken to the home of a member of staff, or away from the Club’s premises unless absolutely necessary, in the course of waiting for them to be collected at the end of a session.
• The child will remain in the care of the Club until they are collected by the parent, carer or designated adult, or alternatively placed in the care of social services.
• Incidents of late collection will be recorded by the manager and discussed with parents/carers at the earliest opportunity.
Parents and carers will be informed that persistent late collection will result in a fine of £5 per 5 minutes late. Also it may result in the imposition of the loss of their child’s place at the Club.
Food and Drink
Our Club is committed to providing healthy, nutritious and tasty food and drinks for children during our sessions. The Co-ordinator and staff will make every effort to ensure that food and drink is safely prepared and sensitive to the dietary, religious and cultural requirements of all the children.
When preparing food and drink, staff will be mindful of the provisions of the Hygiene policy so as to ensure that the safety of staff and children is paramount.
In addition to these provisions, staff will be careful to ensure both the safety of themselves and children when using sharp or dangerous equipment in food and drink preparation.
The Manager and staff are mindful of their responsibilities and obligations under the Food Safety Act 1990. The Club is registered with the local authority to provide food. All staff that either handles or prepares food has up to date Food Handling Certificates and are fully trained in food storage, preparation, and cooking and food safety.
As part of a child’s settling in period, the Club requires that the parents and carers complete the Information Form, including information about any special dietary requirements or allergies if there is an allergy i.e. nuts then a health care plan needs to be set up. (Look at medicines policy)
The Manager and staff will ensure that food and drink offered to children takes account of this information so as to safeguard their health, and meet – as far as possible – their particular preferences and individual needs.
No child will ever be forced to eat or drink something against their will and the withholding or granting of food and drink will never be used as either a punishment or reward.
Healthy Eating
The Club recognises the importance of healthy eating and a balanced and nutritious diet. Because of this, the Club will endeavour to make a variety of foods available including plenty of fruit and low fat and low sugar food. Upon the display board is snack menus for the children and parents/ carers to see what snacks are available each day. We provide a healthy and nutritional balanced snack in holiday club at 10am and 3.30pm. If your child is booked in for a full day a healthy pack lunch is required. We advise you to use cool packs for our trips out.
We also advise children to only eat from their pack lunch and not to share food with others as we do have children attending with have food allergies.
We like children to eat sandwiches first before eating cakes biscuits and crisps. Fresh drinking water is available thought out the day. We prefer children not to bring fizzy pop and sweets in their pack lunches, as our aim is to be as healthy as possible. Lunch is between 12 and 12.30pm.
In term time we provide snack at 4.15pm again it is a healthy choice and snack menus are available to see on the display board.
The Club will not regularly provide sweets for children and will avoid excessive amounts of fatty or sugary foods. The Club will make sure that fresh drinking water is available at all times. There is a jug of water available with cups on the sink area where children can help themselves.
Cultural and Religious Diversity
The Club and its staff are committed to embracing the cultural and religious diversity of the families who use our services. The Manager and staff will work with parents/carers to ensure that any particular dietary requirements are met. The Club is also keen to help introduce children to different religious and cultural festivals and events through different types of food and drink.
Safeguarding and promoting children’s welfare
Our Club believes that children have the right to be completely secure from both the fear and reality of abuse, and we are committed to protecting all the children in our care from harm.
The clubs child protection procedures comply with all the relevant legislation and other guidance or advice from LSCB. As a club we are committed to reviewing the safeguarding children policy and procedures on a regular basis. The policy and its procedures will be shared with parents/carers during their child’s settling in period.
Recognising child abuse:
Child abuse manifests itself in a variety of different ways, some overt and others much less so. All staff will have child protection training and will be vigilant to signs and evidence of physical, sexual and emotional abuse or neglect by adults and children.
Physical Abuse: This involves hitting, shaking, throwing, burning, suffocating or any other physical harm.
Deliberately causing a child’s ill health also constitutes as physical abuse.
Sexual Abuse: This involves forcing or enticing a child to take part in sexual activities, whether or not the child is aware of what is happening. The activities may involve physical contact, including penetrative or non-penetrative acts. Showing children pornographic materials, sexual activities, or encouraging children to behave in sexually inappropriate ways also constitutes sexual abuse.
Emotional abuse: Varying degrees of emotional abuse is present in virtually all child protection incidents, but can also constitute abuse in its own right. Emotional abuse involves persistent or severe emotional ill-treatment or torture causing, or likely to cause, severe adverse effects on the emotional stability of a child. Such behaviour may involve conveying to a child that they are worthless, unloved, or inadequate, or making them feel unnecessarily frightened or vulnerable.
Safe Guarding Children Officer
The Club will appoint a member of staff as the Safe Guarding Childrens’ Officer. This person will have suitable experience, training and expertise, and will be responsible for liaising with social services, the local Safeguarding Children’s Board and Ofsted in any child protection matter.
The Club’s child protection procedures comply with all relevant legislation and other guidance or advice from the local Safeguarding Children’s Board.
Staff Support and Training
The Club is committed to ensuring that it meets its responsibilities in respect of child protection through the provision of support and training to staff. Therefore, the Club will ensure that:
• All staff, students and volunteers are carefully recruited, have verified references and have full and up to date Criminal Record Bureau checks.
• All staff and volunteers are given a copy of the Safeguarding Children policy during their induction, and have its implications explained to them.
• All staff and volunteers receive regular training and supervision in child protection issues and are provided with any relevant information and guidance.
• All staff are provided with supervision and management support commensurate with their responsibilities in relation to child protection, and their requirement to maintain caring and safe relationships with children.
• All staff are aware of the main indicators of child abuse.
• All staff are aware of their statutory requirements in respect of the disclosure or discovery of child abuse and the procedure for doing so. All students and volunteers are instructed to report the disclosure or discovery of abuse to the Manager. This action also relates to any children found or alleged to have abused other children in the setting.
• The Club will take appropriate action in relation to the findings of any investigation into allegations of abuse, consistent with it’s duties to protect the safety of children and up hold fair processes for staff, students and volunteers.

Safe Caring
All staff understand the Club’s child protection procedures and have had appropriate training and guidance in the principles of safe caring. To this end:
• Every effort will be made to avoid or minimise time when members of staff, students or volunteers are left alone with a child. If staff are alone with a child, the door of the room should be kept open and another member of staff should be informed.
• If a child makes inappropriate physical contact with a member of staff, students or volunteer, this will be recorded fully in the Incident Record Book.
• Staff will never carry out a personal task for children that they can do for themselves. Where this is essential, staff will help a child whilst being accompanied by a colleague. Unless a child has a particular need, staff should not accompany children into the toilet. Staff are aware that this and other similar activities could be misconstrued.
• Staff will be mindful of how and where they touch children, given their age and emotional understanding. Unnecessary or potentially inappropriate physical contact will be avoided at all times.
• All allegations made by a child against a member of staff will be fully recorded, including any actions taken, in the Incident Record Book. In the event of there being a witness to an incident, they should sign the records to confirm this.
Dealing with Allegations
The Club is committed to ensuring that it meets its responsibilities in respect of child protection by treating any allegation seriously and sensitively.
The Club will not carry out any investigation itself into a suspected child abuse incident. On discovering an allegation of abuse, the Safeguarding Children Officer will immediately refer the case to the local statutory child protection agencies.
Further to this, the following principles will govern any suspected or reported case of abuse:
• Where actual or suspected abuse comes to the attention of staff, they will report this to the Safeguarding Children Officer at the earliest possible opportunity.
• Staff are encouraged and supported to trust their professional judgment and if they suspect abuse has, or is taking place, to report this.
• Full written records of all reported incidents will be produced and maintained. Information recorded will include full details of the alleged incident; details of all the parties involved; any evidence or explanations offered by interested parties; relevant dates, times and locations and any supporting information or evidence from members of staff. The Club will demonstrate great care in distinguishing between fact and opinion when recording suspected incidents of child abuse.
• The Manager and the Safeguarding Children Officer will be responsible for ensuring that written records are dated, signed and kept confidentially.
• If an allegation of abuse is made against the Safeguarding Children Officer, the Chair of the Management
Committee will be informed as soon as possible. They will then assume responsibility for the situation or delegate this role to a senior member of staff.
• Staff will ensure that all concerns and allegations are treated with sensitivity and confidentiality.
• Any children involved in alleged incidents will be comforted and reassured.
In circumstances where a child makes an allegation or a disclosure, the member of staff concerned will:
1 Listen fully to all the child has to say.
2 Make no observable judgement.
3 Ask open questions that encourage the child to speak in their own words.
4 Ensure the child is safe, comfortable and not left alone.
5 Make no promises that cannot be kept; such as promising not to tell anybody what they are being told.
Staff will be made aware of the Department of Health’s booklet ‘What to do if you’re Worried A Child Is Being Abused?’ (2003), and its recent guidance on ‘Protecting Children from Harm’.
Referring Allegations to Agencies
If the Safeguarding Children Officer has reasonable grounds for believing that a child has been – or is in grave danger of being – subject to abuse, the following procedure will be activated:
• Contact will be made, at the earliest possible opportunity, with the local social services department.
• The manager or Safeguarding Children Officer will communicate as much information about the allegation and related incidents as is consistent with advice given by social services and the police.
• At all times, the safety, protection and interests of children concerned will take precedence. The manager and staff will work with and support parents/carers as far as they are legally able.
• The Club will assist the social services and the police, as far as it is able, during any investigation of abuse or neglect. This will include disclosing written and verbal information and evidence.
• OFSTED will be informed of any allegations of abuse against a member of staff, student or volunteer, or any abuse that is alleged to have taken place on the premises or during a visit or outing.
Complaints Procedure
Our Club is committed to providing a safe, stimulating, consistent and accessible service to children and their parents/carers. We always aim to provide high quality services for everyone, but accept that sometimes things do not always go to plan. In such circumstances, we want to know so that we can put them right and learn from our mistakes.
This policy constitutes the Club’s formal Complaints Procedure. It will be displayed on the premises at all times.
Under normal circumstances, the Co-ordinator will be responsible for managing complaints. If a complaint is made against the Co-ordinator, the Management Committee will conduct the investigation. All complaints made to staff will be recorded in detail in the Incident Record Book.
Stage One
If a parent/carer has a complaint about some aspect of the Club’s activity, or about the conduct of an individual member of staff, it will often be possible to resolve the problem by simply speaking to the individual concerned and/or to the Co-ordinator. The Club is committed to open and regular dialogue with parents/carers and the Club welcome all comments on its services, regardless of whether they are positive or negative.
In the first instance, parents/carers are encouraged to speak directly to the relevant member of staff, if deemed appropriate. If not, the manager should be approached and they will try to resolve the problem. If a satisfactory resolution cannot be found, then Stage Two of the procedure will formally come into operation.
Stage Two
If informal discussions of a complaint or problem have not produced a satisfactory resolution to the situation, parents/carers should put their complaint in detail and in writing to the Co-ordinator. Relevant names, dates, evidence and any other important information on the nature of the complaint should be included.
The Club will acknowledge receipt of the complaint as soon as possible – within three working days at least – and fully investigate the matter within 28 working days. If there is any delay, the Club will advise the parent/carers of this and offer an explanation. The Management Committee will be responsible for sending them a full and formal response to the complaint.
If the Manager has good reason to believe that the situation has child protection implications, they should inform the designated Child Protection Officer and ensure that the local social services department is contacted, according to the procedure set out in the Child Protection policy. If any party involved in the complaint has good reason to believe that a criminal offence has been committed, then they will contact the police.
The formal response to the complaint from the Club will be sent to the parent/carer concerned and copied to all relevant members of staff if appropriate. The response will include recommendations for dealing with the complaint and for any amendments to the Club’s policies or procedures emerging from the investigation.
The Manager will arrange a time to meet the parent/carer concerned and any other relevant individuals, such as members of staff, to discuss the complaint and the Club’s response to it. The Co-ordinator will judge if it is best for all parties to meet together or if individual meetings are more appropriate.
If at the conclusion of this process parents/carers remain dissatisfied with the response they have received, the original complaint along with the Club’s response will be passed to the Chair of management who will adjudicate the case.
The Voluntary Committee will communicate a detailed response, including any actions to be taken, to both the Manager and the parents/carers concerned within 28 working days.Records of any complaints made will be retained for 10 years.
Making a Complaint to Ofsted
Any parent/carer can, at any time, submit a complaint to Ofsted about any aspect of registered childcare provision. Ofsted will consider and investigate all complaints received.

PARENT GRIEVANCE PROCEDURE
OUR COMMITMENT TO YOU
The Management Committee and staff are determined to provide a club that is both safe and fun.
To make sure that any grievances you may have are dealt with swiftly, we have a simple grievance procedure that should make it easy for you to raise you concerns and for the club to react in a positive manner.
All grievances or complaints will be dealt with in a fair and equal manner and in complete confidence.
STEP 1 Talk to the Co-ordinator.
STEP 2 Further Actions
If you are not satisfied, or still have concerns or you feel that a direct approach to the Committee is required, then you may submit your concerns in writing to the Management Committee. The Committee will examine the complaint and review any action already taken.
STEP 3 Mediation
If you are still unhappy that you can appeal in writing direct to the club chair, or to the clubs out of school field worker at the York Childcare. York Childcare is the Club’s umbrella service and the contact address can be provided for you. This is purely for mediation and is not binding for either party. It should, therefore, be used as a last resort.

The Manager will be responsible for ensuring that the Equal Opportunities policy is implemented and that its effectiveness is regularly monitored. They will be responsible for ensuring that:
• Staff receives appropriate training.
• The Equal Opportunities policy is consistent with current legislation and guidance.
• Appropriate action is taken wherever discriminatory behaviour, language or attitudes become apparent.
All the Club’s policies and procedures will be kept under review to ensure they do not operate in a discriminatory manner or in anyway against its commitment to equal opportunities.
Exclusion Policy
Kool Kids Club is committed to dealing with negative behaviour in a non confrontational and constructive manner wherever possible, disruptive or challenging behaviour will be tackled collectively between staff and children in the club. Such procedures are outlined in the behaviour Management policy.
For children who persistently challenge behaviour the steps outlined in the behaviour management policy will be actioned.
When the clubs strategies will not alter or prevent negative behaviour from a child, the manager may decide to take further action which will include reviewing the child’s place at the club on either a temporary basis or permanent basis.
For children who display extremely serious or dangerous behaviour, they will be excluded with immediate effect. In the event of this action being taken the child s / parent carer will be contacted immediately and asked to collect them. No child will leave the premises without been collected by a parent / carer.
After immediate or temporary exclusion has taken place the manager will arrange a meeting with the child concerned and their parent carers to discuss the incident and decide if it will be possible for them to return to the club.
If the child is accepted back to the club a go for it chart will be used to help the child make positive achievements within the club. It will have 3 aims for the week and parent / carers and the child concerned will be involved in writing the 3 aims. Parent / carers will be encouraged to be involved in the whole process.
The manager has the right at any time to exclude children who persistently show negative and untoward behaviour within the club.
Infectious and Communicable Diseases
Our Club is committed to the health and safety of all children and Staff, who plays, learns and works here. As such, it will sometimes be necessary to require a poorly child to be collected early from a session or be kept at home while they get better. In such cases, the provisions of the Health, Illness and Emergency policy will be implemented.
In accordance with the procedures set out in the Health, Illness and Emergency policy, parents/carers will be notified immediately if their child has become ill and needs to go home. Poorly children will be comforted, kept safe and under close supervision until they are collected.
If a child has had to go home prematurely due to illness, they should remain at home until they are better for at least 24 hours, or according to the times set out in the table below. If a member of staff becomes ill at work, similar restrictions on their return will apply.
If a child or member of staff becomes ill outside Club hours, they should notify the Club as soon as possible. The minimum exclusion periods outlined in the table below will then come into operation.
If any infectious or communicable disease is detected on the Club’s premises, the Club will inform parents/carers personally in writing as soon as possible. The Club is committed to sharing as much information as possible about the source of the disease and the steps being taken to remove it. Ofsted will also be informed of any infectious or communicable diseases discovered on the Club’s premises.
Head Lice
When a case of head lice is discovered at the Club, the situation will be handled carefully and safely. The child concerned will not be isolated from other children, and there is no need for them to be excluded from activities or sessions at the Club.
When the child concerned is collected, their parent/carer will be informed in a sensitive manner.
Other parents/carers will be informed as quickly as possible in writing, including advice and guidance on treating head lice. Staff should check themselves regularly for lice and treat whenever necessary.
Medication
The Staff prefer not to administer medication, however if your child requires prescribed medication staff will administer only with parent / carer consent. Forms must be filled in advance. These can be obtained from the Manager.
Allergies
Any allergies should be explained on the Registration document at the time of registration. If a child develops an allergy the Manager must be informed and a letter outlining the items that cause the allergy, a description of the reaction and the treatment to be given where appropriate. A Health Care Plan will be initiated as soon as medical confirmation is received.

Medicines policy
Our policy has been written in accordance with the guidelines in “Managing Medicines in York Schools & Early Years & Out of School Settings 2009”.
The procedure for administering medication at the Club is as follows:
If children have been prescribed medication, they may not return to Kool Kids Club until 24 hours after the commencement of medicine, and only then at the discretion of the Manager.
If at all possible, parents should be encouraged to find out whether a medication can be given out of school time; for example, if a dosage is three times a day, this could be before and after school and before bed. However, if medication must be given when a child is attending the club, a form can be obtained by either asking the manager or a member of staff.
Prescribed medicines will be administered by Kool Kids Club staff on completion of a Medication Detail Form, which must be signed by the Parent/Carer before medicine can be given. Medication will not be administered to your child / children without a completed form. Under no circumstances will members of staff administer medication against the will of a child.
If a child attends who has long term medical needs, a written health plan will be drawn up with the help of the parents / carers and any other relevant professionals. This should include details of a child’s condition, any special requirements, any side effects of medication, what constitutes an emergency, what action to take in an emergency, what not to do in an emergency, who to contact in an emergency and the role that staff can play.
MEDICINES
If a child deteriorates during an After School Club or Breakfast Club session or during the day at a Holiday Club session, parents will be contacted and asked to collect their child.
If your child is likely to require medication other than antibiotics (e.g. inhalers to relieve symptoms associated with asthma) please discuss this with Kool Kids Club Manager.
Please note that nursery staff are unable to administer paediatric pain relievers such as Calpol, unless prescribed by a doctor as part of the treatment for a specific condition. If a child's temperature is dangerously high we will apply an ice pack to the forehead and contact the parents/carers immediately. All medicine containers should be clearly labelled with:
- The child’s name
- The name of the medicine
- Dosage and frequency
- Date of dispensing
- Storage instructions
- Expiry date
PROCEDURE
When a parent brings in medicine, staff must complete a Medication Detail Form and ask the parent/carer to sign it. The Medication Detail Form and any medication should be passed directly to the Manager.
• The Manager will have primary responsibility for the storage an administration of all medicines.
- Medicines should be refrigerated (if appropriate) or stored in the lockable cabinet where other chemical products are kept out of reach of the children.
- Instruction on dosage and time of administration must be written on the Medication Detail Form.
- Only staff trained in the administration of medicine will administer medicine to a child, ensuring that the correct dosage is given and that the medicine is in date.
- A witness should be present when the medicine is administered, and is also required to countersign the Medication Detail Form.
• Prescribed medicines will be sent home at the end of the day, with parents/carers being shown written confirmation of times and dosage. If the child is still at Kool Kids Club once the staff member who administered the medicine has finished his/her shift, the remaining play workers will be asked to pass on the relevant information to the parent/carer.
- Should the medicine be left at Nursery, a staff member will telephone the parents/carers and make arrangements for the medicine to be collected.
- At the end of the day, the Medication Details Form is to be placed in the child’s personal file.
- Kool Kids Club will not accept unlabelled items of medication.
- Parents must notify the club in writing if there is a change in medication, written instruction from the prescriber is required for a change in dosage or discontinuation.
Parents can support Kool Kids Club by:
- Making sure your child is fit and well enough to attend.
- Providing full details, in writing of any health problems their child may have and keeping Kool Kids club informed of any changes.
- Providing full written details of any special religious and/or cultural beliefs which may affect any medical care that the child receives, particularly in the event of an emergency.
- Providing all information in good time to allow us sufficient opportunity to plan and prepare how we can meet your child’s needs.
- Making every effort to attend meetings requested by Kool Kids Club and cooperating in drawing up an Individual Health Care Plan (if applicable) and any additional care plans.
- Ensuring we have a choice of two telephone numbers where you can be contacted in an emergency. Informing us promptly of any changes to your mobile phone number. Have you changed your mobile number?

Missing Children
Our Club has the highest regard for the safety of the children in our care. Staff will always be extremely aware of the potential for children to go missing during sessions.
Even when all precautions are properly observed, emergencies can still arise. Therefore members of staff will undertake periodic head counts, especially at the transition points between sessions (in addition to the registration procedures set out in the Arrival and Departures policy). If for any reason a member of staff cannot account for a child’s whereabouts during a session at the Club, the following procedure will be activated:
• The member of staff in question will inform both the manager and the rest of the staff team that the child is missing and a thorough search of the entire premises will commence. The staff team will be careful not to create an atmosphere of panic and to ensure that the other children remain safe and adequately supervised.
• The Manager will ask the school staff team as to the whereabouts of the child then the manager will nominate two members of staff, to search the area surrounding the premises. All staff will be extra vigilant to any potentially suspicious behaviour or persons in and around the Club.
• If after 15 minutes of thorough searching the child is still missing, the Manager will inform the child’s parent/carer and then the police.
• While waiting for the police and the parent/carer to arrive, searches for the child will continue. During this period, other members of staff will maintain as normal a routine as is possible for the rest of the children at the Club.
• The manager will be responsible for meeting the police and the missing child’s parent/carer. The manager will co-ordinate any actions instructed by the police, and do all she/he can to comfort and reassure the parents/carers.
• Once the incident is resolved, the manager and the staff team will review relevant policies and procedures and implement any necessary changes (paying particular note to the relevant provisions of the Club’s Site Security and Risk Assessment policies).
• All incidents of children going missing from the Club will be recorded in the Incident Record Book, and in cases where
either the police or social services have been informed, Ofsted will also be informed, as soon as is practicable.
Parent/Carer Behaviour Policy
As a childcare setting Kool Kids Club would expect parents/carers or other visitors to be aware of their behaviour and act accordingly while on its premises. At Kool Kids Club staff are expected to behave in a friendly and professional manner with parents/carers. As an employer Kool Kids Club has a responsibility to protect staff while in the work place.
Staff must adhere to a strict confidentiality policy. This is to protect all the users of the setting including children and staff. We expect parents not to discuss other parents/carers children or other confidential issues that they may be involved in with any other adult whether they be a user of the setting or not.
Kool Kids Club takes the welfare of its staff very seriously and will not tolerate what it deems unacceptable behaviour from parents/carers and the below is not an exhaustive list. We sincerely hope none of these situations arise, however ANY breaches of one or more of these policies will result in a meeting of the Management Board, where a decision to immediately terminate your childcare place may be taken.
- In the setting parents/ carers must not use offensive language or threatening body language while speaking to staff.
- Any complaints you wish to report or serious issues you wish to discuss will be carried out, confidentially in an appropriate place at the setting. Parents/Carers must recognise that if it is not possible to speak to the Manager or other member of staff an appointment must be made( it may be the staff member is busy caring for children and is needed in adult/child ratios).
- If parents/carers raise their voice to staff it may be necessary for staff to end the conversation and ask the parent/carer to leave and continue another time. If any parent/carer refuses to leave for whatever reason and staff feel they are a threat the police will be called
- Staff are not expected to tolerate rudeness from parents/carers this may be in the form of verbal comments, gestures or letters.
- Parents/carers will NOT threaten, harass or intimidate any member of staff or any other user of the setting in any way, for any reason at any time.
- Any physical assault or damage to property may result in the police being called and any appropriate action being taken against any individual.
Partnership with Parents and Carers
Our Club recognises that parents/carers play the fundamental role in a child’s development and this should be acknowledged as the basis for a partnership between the Club and parents/carers.
The staff team is committed to working in partnership with parent/carers to provide high quality, safe and stimulating care, learning and play opportunities for children. The Club aims to achieve this by:
• Ensuring that parents/carers are made to feel welcome and valued in all dealings with the Club.
• Ensuring that parents’/carers’ concerns are always listened to by the Club whenever they are raised. The Co-ordinator will ensure that parents/carers receive a prompt response from the Club.
• Developing a pledge to parents/carers which outlines what they can expect from the Club. This pledge will be given to every parent/carer when their child starts at the Club. A copy will also be posted up in the Club’s premises.
• Making all information and records held by the Club on a child available to their parents/carers, unless it is subject to investigation by the police or other statutory agencies.
• Ensuring that the Club’s policies and procedures are made available to parents/carers on request.
• Encouraging parents/carers to comment on the Club’s policies and procedures and consulting them on a regular basis about the activities that are planned and provided for their children.
• Ensuring that there are regular opportunities for parents/carers to meet with staff and discuss their child’s progress and any problems that they might be encountering.
• Ensuring that any complaints from parents/carers are dealt with swiftly and effectively in accordance with the provisions of the Complaints Procedure policy.
• Encouraging parents/carers to undertake supportive roles in the Club, such as volunteering or participating in activities, visits or outings.
• Encouraging parents/carers to help in the running of the Club, including becoming involved in its management committee where appropriate.
• Providing parents/carers with formal and, if necessary, confidential means to comment on the work of the Club. This will include an annual satisfaction survey.
• Keeping parents/carers up to date with any changes in the operation of the Club, such as alterations to the opening times or fee levels.
• Each child, under the E.Y.F.S Statutory Framework, from September 2008 will be assigned a key person who will liaise with the child’s parents/carers on any issues arising in the care and welfare of their child during their time at the setting.
PHOTOGRAPHY, VIDEOS & MOBILE PHONES & THE USE OF PHOTOGRAPHS AND/OR FILM WITHIN THE SETTING
Ofsted guidelines on using mobile phones states:
“Mobile phones may be used in settings, as long as their use is appropriate…. Use must not detract form the quality of supervision and care of the children.”
The types of photographs which are likely to be taken are of children participating in various play activities. Only staff will take photographs or use camcorders/videos and parents are not permitted to take pictures whilst in the setting. The pictures taken are for Kool Kids Club use only and will only be taken using Kool Kids Club camera.
- The use of mobile phones to take images of children is strictly forbidden.
- In accordance with EYFS, children will be given the opportunity to take photographs themselves and to view the pictures they have taken with the settings camera.
- Cameras are not permitted at all in bathrooms or changing areas.
- All images will be stored on laptop computers belonging to the setting or on a portable external drive which will be kept in a locked cabinet. No images will be stored where they can be accessed through the internet. Images may be stored electronically for a maximum of one year, after which time they will be deleted.
- Photographs taken with the setting camera may be used for a child’s development folder or on the settings display boards.
SPECIAL EVENTS
In line with the policy statement by the City of York Safeguarding Children Board, Kool Kids Club encourages parents to “take an interest in their child’s development” Kool Kids Club will therefore comply with the taking of ‘sensible steps’ to ensure that the recording of events is appropriate. These steps include only permitting parents and carers known to the Kool Kids Club to film or photograph children with prior permission with the Manager.
PUBLICITY
Occasionally photographers from the York Press may be invited into Kool Kids Club to take a picture of a specific activity or event. Specific consent will be requested at the time.
CONSENT
All parents/carers of children attending the setting are required to complete a Registration Form. As part of the Registration Form parents and carers are invited to provide consent for:
- Photographs to be taken in Kool Kids Club, for Kool Kids Club use only.
- For Videos to be taken at special events.
- Videos to be copied for parents/carers.
- Photographs/Videos to be taken for publicity purposes.
- All parents/carers must have given consent to enable us to provide a copy of a video to all parents.
Should parents/carers have any concerns or queries about this policy then they should speak directly with Kool Kids Club Manager.
Staff and the taking of photographs
- Only cameras specifically bought for the setting should be used.
- No photograph or recordings must be taken on personal mobile phones at any time.
- Mobile phones can be left in staff members pockets on a quiet/vibrate setting as there are quite often times when they are needed. However this is only so staff can contact each other - when on different sites or spread across the school, or for those who are parents to be contactable in case of an emergency. No photos are to be taken on phones at any point.
- On trips we will use the Breakfast Club phone, the Club phone and staff may be required to use their mobile phones if working in a large space or more than one area/room. The risk assessment for trips must include an explanation of how the contact phone numbers will be kept safe if they are stored on the mobile phone.
- If you need to be contactable by phone during working time please inform the Manager. If your phone rings you may take the call in an area away from the children.
- This policy will be revised regularly along with the working practices and procedures as we settle into the new school along with the junior children.
PROPERTY STATEMENT
GENERAL. Children should not bring expensive items to Kool Kids Club. Dangerous items such as, matches, cigarettes, fireworks, knives, catapults, sprays, alcohol and drugs are FORBIDDEN and if discovered the matter would be taken VERY seriously.
MOBILE PHONES.
Parents should inform the Kool Kids Club staff if their child carries a mobile phone for emergency use. Children are not allowed to play with mobile phones while at the Club.
WATCHES. Expensive watches should not be brought to club. Watches will be collected by staff members and stored in a container during physical activities.
JEWELLERY. For safety reasons we ask that the children do not wear excessive amounts of jewellery.
TOYS. We ask that the children do not bring in toys from home as such items may be lost or arguments may be caused over them.
CONFISCATION. All confiscated articles will be returned by the end of the session.
LOST PROPERTY. All lost property will be placed in a box until their owners are traced. All items of clothing and equipment should be clearly marked with the child’s name.
INSURANCE. There is NO insurance cover for property at the Kool Kids Club, whether lost or damaged.
Settling In Policy
All children are unique and the amount of time that a child takes to settle into our club can vary enormously. Therefore, children will be given time to settle in at their own pace, so as to make them feel welcome, safe and confident in a new environment.
The club strongly encourages parents / carers to visit the premises with their children during the week before they are due to start. During this week the club requires that the p [aren’t / carers concerned complete and return the Admission form, and booking form.
Children new to the club will be greeted in a warm and friendly manner. They will be introduced to all members of staff and told about any other visitors to the club.
Depending on the age and maturity of the child, the parent / carer will stay with the child while the rules and routines are being explained. The parent / carer will have an option of being part of the induction process, if they wish to be involved.
Children will be informed about the clubs routines and programme of activities. They will be shown round the club, told where can and cannot go, and have both registration and signing out procedures, made clear.
Ground rules will explained to the child / children and they will encouraged to0 ask questions and raise any concerns. The child will be told about the fire evacuation procedures. And the location of all fire exits, according to the provisions of the fire safety policy.
Parents / carers are offered the opportunity to stay with their child for a period of time during the first week.
On their first day, children will be introduced to the other children at the club. The child will be allocated a “buddy” who, under the supervision of a member of staff, will show them around the setting and introduce them to other children. The child will be encouraged to get to know the other children and settle into the group.
All staff will supervise children new to the club to ensure that they are happy in their new surroundings. The appropriate level of such supervision will be judged according to the child’s age, maturity and previous experiences.
Staff will ask on a regular basis how a child is feeling, what activities they enjoy and if they are unhappy about anything. At the end of the first, second, third week, the manager will find time to talk to the child about how they are settling in.
If it seems that a child is taking a long time to settle in, this will be discussed with their parent. / Carers at the earliest opportunity. Likewise, if a parent / carer feel‘s that there is a problem during the settling in period, they should raise this with a member of staff.
Staff will always be available to discuss any concerns or other issues with parent / carers regarding their child and their attendance at the club. If parent / carers wish to meet with the manager, they should make an appointment to come in for a chat.
Special Needs / Inclusion policy
Our Club is aware that some children have special educational needs and/or physical disabilities that require particular support and assistance. We are committed to taking appropriate action to make sure that all children are able to access our services, made to feel welcome, and that our activities promote their welfare and development.
The Club is committed to the integration of all children in its care. The Club also believes that children with special educational needs and/or physical disabilities have a right to play, learn and be able to develop to their full potential alongside other children. Whenever possible, children with special educational needs and/or physical disabilities will have access to the same facilities, activities and play opportunities as their peers. Everybody stands to gain if all children are allowed to share the same opportunities and are helped to overcome any disadvantages that they may face.
The policies, procedures and practices of the Club in relation to children with special educational needs and/or physical disabilities are consistent with current legislation and guidance. These include the Special Educational Needs and Disability Act 2001 and the Disability Discrimination Act 1995.
The Club believes that by identifying individual needs and taking proactive steps alongside parents/carers and other statutory professionals or agencies, all children should be able to play a full, active and equal part in the Club’s activities.
Special Educational Needs and Disability Co-ordinator
The Management committee will appoint a member of staff as the Special Educational Needs and Disability Co-ordinator to manage provision for children with special educational needs and/or physical disabilities. This individual will be fully trained and experienced in the care and assessment of such children. This person is Sally Mclean
All members of staff will be expected to assist the Special Educational Needs and Physical Disability Co-ordinator in caring for children with special educational needs and/or physical disabilities. The Co-ordinator’s responsibilities will include:
• Working alongside the Co-ordinator to ensure that all staff are aware of all legislation, regulations and other guidance on working with children with special educational needs and/or physical disabilities.
• Working with the manager to ensure that all staff who work with children with special educational needs and/or physical disabilities and have appropriate skills and training.
• Co-ordinating regular monitoring and reviews of children’s progress; involving parents/carers, other members of staff, relevant representatives from statutory agencies and, if appropriate, the child themselves. Alongside the Manager, they will also be responsible for ensuring that any actions following such reviews are followed through.
• Assessing each child’s specific needs and adapting the Club’s facilities, procedures, practices and activities as appropriate.
• Ensuring that systems are in place to adequately plan, implement, monitor, review and evaluate the Special Needs policy.
• Ensuring that children with special educational needs and/or physical disability are fully considered when activities are being planned and prepared.
• Liaising with parents/carers about the needs of their children and the plans and actions of the Club, as well as being the point of contact for parents/carers.
• Liaising with other agencies and seeking advice, support and training for themselves and other staff as is necessary.
• Supporting other members of staff to become more skilled and experienced in the care of children with special educational needs and/or physical disabilities.
• Ensuring that all children are treated with equal concern and respect and are encouraged to take part in all activities.
• Ensuring that accurate observations and assessments of children’s progress are regularly made and properly record
Outline of Travel Plan for Kool Kids Club
This travel plan explains where the junior and infant schools are situated and access and egress from each site. It also gives details of places to park.
- Description of Setting and its approaches
Junior School Site
Kool Kids Club can be approached via either Rawcliffe Lane; a busy main road with very limited parking; Rawcliffe Drive which allows for some on- street parking or Rawcliffe Fairway which allows for more free on-street parking and is the preferred choice by many parents.
Entry via the playground in a motor vehicle is forbidden unless due to circumstances which need to be discussed with staff beforehand. There is an assigned area at the front of the school, within the first set of black gates, for disabled parking.
As the club is situated at the furthest end of the building, across the school playground, parents and children will walk across the playground to the last accessible door of the main school building and ring the doorbell. A bike shelter is situated at the far end of the playground behind the Yvonne Forman building.
Infant School Site
It is situated in a quiet residential area and the many side streets off Eastholme Drive can be used for parking however respect must be given to the property of these residents where obstructing their drive could cause unnecessary upset. The infant school can be approached from either end of Eastholme Drive. There is no parking available for parents/carers collecting children, on the infant school premises. There is no designated disabled parking area on the school premises. If access is required for a child/parent/ carer with disabilities a prior arrangement must be made with the school or through Kool Kids Club and a space will be made available.
- Existing Travel Behaviour
Junior and Infant School Sites
Many parents drop off and pick up their children by car, and at such times the roads around the school (mentioned previously in section 2) can become congested. However, during after school hours this is less likely to be a concern, nonetheless, it is important to remember that both schools are situated in quiet residential areas and respect must be given to the property of these residents; for example, obstructing a driveway could cause unnecessary upset. During the operating hours of the club there should be little cause for concern with regards to lack of parking or congestion as the roads are usually quiet during this time. It is important that parents do not drive onto the junior playground .
It is important to encourage parents and children to seek other forms of transport for their journey to the club such as taking the bus, cycling or walking. This can be achieved through the promotion of healthy living and awareness including campaigns such as National Cycling Week and Walk To School week
This plan includes the timetables of local buses which are accessible to parents and staff so that alternative transport methods may be undertaken. This travel plan will be reviewed on a regular basis to ensure efficiency of routes and times of bus services.
